How to setup outlook for multiple email accounts

Note: These may not be the exact directions for your version but they should be close

If you have multiple email accounts at different ISPs, Outlook and Outlook Express can handle that. example. Assume that you are John Smith. You have two accounts with two ISPs. One is jsmith@Earthlink.net. Another is jsmith@ATT.net. Outlook already handles the first account. Here is how to create a “second” account within Outlook or Outlook Express

1. Click “Tools” 2. Click “Accounts” 3. Click on the “Mail Tab” 4. Click “Add”, then “Mail” 5. In the box labeled “Display Name” type your name as you would like it to appear on outgoing email. For example, “John Smith” 6. Click “Next” 7. In the box labeled “E-mail Address” type the reply address you would like to use. For example, jsmith@ATT.net. 8. Click “Next” 9. In the box labeled “Incoming mail (POP3 or IMAP) server”, type the address of your incoming mailbox for the second account. You must get this from the ISP for your second account. 10. In the box labeled “Outgoing mail (SMTP) server”, type the address of the outgoing mail server for the second account. You must get this from the ISP for your second account. 11. Click “Next” 12. In the box labeled “Account name”, type the account name or user ID your ISP gave you for the second account. 13. In the box labeled “Password”, type the password that that your ISP gave you for the second account. 14. Check the box labeled “Remember password” 15. Click “Next” 16. On the panel that asks “Which method do you want to use to connect to the Internet?”, I recommend selecting “manually”. 17. Click “Next” 18. Click “Finish” 19. Immediately click on “Properties”. This will reopen the “account” you have just created. 20. Note that the account used the value you specified as the incoming account with your ISP as the “name” of the account. This name is only used to identify the account within Outlook or Outlook Express. I strongly recommend changing it to something you will easily recognize. 21. Click “OK” 22. Voila. You are done.

To use this account, click the “pull down” arrow next to the “Send” button on any email. Outlook will reveal all your defined accounts and let you specify which one to use

Microsoft Outlook 2003: Configuring Multiple Accounts

There are two basic ways you can accomplish this, depending on what strategy you want to use. The first, and perhaps easier, is to create multiple folders then have your messages routed to those folders based on the receiving address. Here are the steps involved, and, yes, you do have to create a rule, but it only takes a minute: In Outlook (this is for Outlook XP, but 2003 is basically the same): 1. Choose Rules Wizard from the Tools menu. 2. Click on New. In the dialog that comes up, choose the “Start from a blank rule” option. “Check messages when they arrive” should be preselected. 3. Click Next. In this step, choose the option “with specific words in the recipient’s address”. Click on the underlined “specific words”, type (e.g.) address1@mycompany.com, click Add and then OK. 4. Click Next. In this step (“What do you want to do with this message”), select “move to specified folder”. Click the underlined word “specified” and specify the folder. 5. Click Next. In this step, add any exceptions if desired. 6. Click Next. Name the rule and click Finish. 7. In the preceding dialog (still showing, click OK).

Or Separate Accounts… The other solution you can use if you don’t want to use three folders but would rather be able to file email in a set of folders, with different sets per account, is to actually create three different accounts in Outlook. Instead of creating 3 separate accounts you could try creating three separate profiles that will give you three separate data files; First, get rid of two of the accounts from the Outlook profile you already have. Then go to your Mail Settings, then START –> CONTROL PANEL –> MAIL Select SHOW PROFILES, then ADD. Follow through the instructions to set up a profile making sure you have the necessary info from your ISP or POP account … (account names, passwords, addresses, etc.) Then create further profiles for the remaining accounts, giving each profile a separate and distinguishing name. Once you have your three profiles (each with a different email address) click the radio button next to “Prompt for a Profile to be Used”. Then click OK. When you start Outlook, it should ask you which profile to use. Choose the appropriate one and you’re all set. That should also give you three data files. Oh! For you to easily access all three accounts, you’ll want to be using Classic View and not Category View in Control Panel or you may have a hard job finding Mail.

What preparations does my business have to do to get online?

What information should I have ready upon purchasing my design package?

We will need your company profile, contact info, products and services, and any other information you intend to present on your website.

How much input do I have?

We welcome your input! The more input we receive from you the better able we will be to satisfy your needs and produce a site that will have the desired look and impact that you want. It’s your website, we want it to look the way you want it. We guarantee it 100%

If I already have a site can you help me improve it?

Yes. We can usually redesign or freshen up an existing site quicker, and for less money than building one from scratch. Whether your company’s website “doesn’t look professional”, takes too long to load or the navigation is baffling to visitors, we can help.

Can you use my business's existing logo, brochure design, and other materials for my website?

Yes. If your logo and promotional materials are not in electronic format, we can convert them to a format appropriate for your website for a small fee. We can accept almost any type of file. If your materials are printed, we can scan and convert them. Designers at Vector Web Designs will help you establish your online image to be consistent with your existing image that your customers already know & remember.

Does my business need to be computer-based in order to have a website? Do I need to know about computers?

NO, you do not need to own a computer or have computers involved in your business in order to have a website. Many companies do filing, invoicing and more without a computer. Creating a website is more about exposing your business to new potential clients and generating new sales. There is no need to overhaul the way your company does business.

What does 'Website Maintenance' or 'Website Updates' mean?

Website Maintenance or Website Updates refers to changes made to your website after the initial design & setup. Keeping a website up-to-date is essential in having repeat visitors to your site. Updating the site with sales, articles, new products, newsletters, press releases, financial figures and links are all examples of website Maintenance.

My company is in the service industry. Will a website help my business?

Who writes the copy/text for each of the pages on the website?

You are responsible for writing the copy/text for your website. However, Vector Web Designs will place your supplied copy on the website for you. We also offer copy writing assistance for an additional fee.

Do you offer payment plans?

We expect 20% of the agreed upon amount paid before we start, and the remaining balance due within 30 days of going live. We offer this payment plan to help make the website you want more affordable.

How can we pay to get started?

We accept all major credit cards including Visa, Master Card, American Express, Discover through our PayPal account. We also accept checks after Pre-Approval.

Do I have to host with you?

No, unlike other companies we don’t make hosting with us mandatory.
However, choosing to host with us is a BIG advantage for you. You don’t have to worry about any technical aspects of managing your hosting account and the servers, we do it all for you. Plus you just have a one point contact for your Web Presence. If there is a problem it is always better to call a single reliable company who can take care of everything while you concentrate on your business. We will make your website one less worry for you.

We are located in Prescott, Wisconsin. This is less than 20 minutes from Down Town St. Paul, Minnesota

Can I have a site that looks like this?

We recommend giving us examples of one or more websites that have the look or parts that you would like to include in your custom website. We will work with your initial direction then work closely with you to develop a website that carries the vision you have for your company or organization.

Have you built a site like mine before?

Usually the content of a site or type of business does not affect the methods, procedures and codes used to build it. For example, you wouldn’t ask a car wash if they had washed your color car before. Some sites require advanced functions to perform special operations and Vector Web Designs has the experience to meet these needs.

I want a site like eBay/MySpace/Youtube/...etc. Can you do this?

These types of websites require complex web development and will be quoted individually. Costs for these types of websites can easily exceed $20,000 for this type of work.

How Does Your Web Design Process Work?

With that in mind, we will work with you to discover your business needs and plan a strategy to create the ideal web solution.

Initial Consultation

All our services begin with a free initial consultation to determine your requirements. We work closely with you to determine your needs and desires, and will complete a detailed design worksheet itemizing all your requirements. This helps us gather information about your company, services, audience, purpose, site goals, and more.

The consultation step is very important because we are committed to providing you with solutions that will work for you, not for us! We prefer you call so we can provide you with faster service, but emails are okay too.

Proposal & Paperwork

After you are confident we have addressed all your ideas, questions, and requirements, you can get specific recommendations for your project. There are many different ways to meet your specific needs. We explain these options with the proposed pricing to deliver them. Once you agree, you receive a formal proposal that contains all of the work you require, prices and payment schedule, and contract.

Payments

We require 20% Deposit to start your work. After “you agree”, “we agree” and paperwork is signed and faxed or mailed to us, we start the actual design process. If you do not understand the smallest of points at this step PLEASE ASK FOR CLARIFICATION! Miscommunication and false expectations do NOT move the design process forward in a productive manner. At ANY time please contact us about any concerns, questions or comments you have about your project.

Collecting Your Content

You will provide us with the text and any other content for your website and any specific pictures you would like. We can provide you with access to thousands of royalty free stock photos. We can offer optional copy writing services.

Design Development

We ask you to provide examples of websites you really like, colors you like, and your competitors’ websites. If you want, you can also have a look at our past work and let us know any website elements you liked and we can incorporate the same for your website. We can also provide you with access to our professional high quality Semi Finished Designs and you can choose the one you like. Once you provide that information to us, usually within 5 business days, you get a creative “mockup” of what your website will look like when it’s completed. At this stage, we work closely with you to develop a look that will be both visually pleasing and user-friendly.

Design Selection & Finalization

After the initial “Mockup” is designed, you will review it on our servers. We send you a web link to view the “mockup” at a “staging” website and ask if you would like any changes. You request revisions as necessary and then you provide final approval.

Web Development

After receiving your final approval on the “mockup”, we will then begin building the website and web pages, incorporating the design and all of the content that you provide.

Pre-launch Evaluation

After the site is built, you will be able to view all pages to make sure everything is exactly how you want it. You will submit any desired changes to the copy and then give final approval before the site goes live.

Launching Your Website

After final approval and payment has been received, your website will be published on your domain, and it will be live for the entire world to see!

We can register your domain name and host your website too – so you don’t have to worry about technical aspects of your website and we become your one stop shop for your web presence.

Ongoing Support

After your website is launched, we will work with you to establish a regular review and maintenance schedule of your web site to accommodate your requests, user feedback, system upgrades and any new emerging web technologies.

What is your typical turn around period?

Due to the high level of custom work and the collaborative process involved in each website we build, it’s difficult to predict an exact turnaround time. We will work together with you to complete the Web Design Project in a timely manner. We agree to work expeditiously to complete the Web Design, but delays can occur if any milestone that requires your action, such as approving design mockups or web design changes, is not acknowledged on time. As an example, a 5 page website can be finished anywhere between 1-6 weeks after we’ve received all content and feedback from you. It’s a safe estimate to expect at least a month for your project, though it could be much quicker or slower, depending on your input.

Always remember, we can only work as fast as you allow us; turnaround time is client-dependent. If content is provided sooner, initial and on-going instructions are clear and revisions requested are reasonable, turnaround time can be significantly decreased. On the other hand, it could drastically increase due to client in-action, delayed mockup approvals, back and forth

Will you custom design our website for this price?

After meeting with you to discuss your needs and wants for your website we will provide you with an Estimate. We pride ourselves on estimating high so the only surprise you get when you receive the bill is the price is the same or lower than estimated.

Can you host our website and register our domain name?

Yes we can. Contact us for pricing for Hosting, E-mail and Purchasing Domain Names.

After you have designed our website, can we manage it ourselves easily?

You’ll have several options for managing your site after it’s completed. You will be able to make any changes to the site if you have any web editing knowledge. You can also opt for an editable website package. This way, you can log in to easily make changes to any non-Flash content in your site, any time you want. Just make sure you let us know you would like this option before you sign up. Thirdly, we offer a Webmaster service, if you’d like us to manage your new site for you.

I live in another state, how can we work with you? Should I not look for a local Company?

That is not a problem; we have clients in multiple states.
